By using our website, submitting a booking request, making a payment, placing a deposit, or using our services, you agree to these Terms and Conditions.

Business Overview

Flashing Lights Gala provides party rental services, event setup services, and event space-related services for indoor and outdoor events. Our services may include tents, tables, chairs, linens, chair covers, lighting, party accessories, décor items, delivery, setup, pickup, and other event-related services.

We serve Long Island, Nassau County, Suffolk County, and surrounding New York City areas.

Website Use

You agree to use this website only for lawful purposes. You may not use this website to submit false information, interfere with website security, copy website content without permission, attempt unauthorized access, or misuse any booking or contact form.

Flashing Lights Gala may update, change, suspend, or remove any part of the website at any time without notice.

Booking Requests

Submitting a form, quote request, message, or booking inquiry does not guarantee availability or confirm a reservation.

A booking is only confirmed when Flashing Lights Gala accepts the request and receives any required deposit, payment, signed agreement, or written confirmation.

Customers are responsible for providing accurate event details, including event date, location, start time, end time, setup requirements, rental items requested, guest count, contact information, and any special instructions. Pricing and Quotes

All prices are subject to availability, event location, rental quantity, delivery distance, setup requirements, labor requirements, taxes, and any additional services requested.

Quotes may change if the customer changes the rental order, event location, delivery requirements, event time, setup conditions, or service details.

Taxes, delivery fees, damage fees, cleaning fees, overtime charges, and other applicable charges may apply.

Payments and Deposits

Flashing Lights Gala may accept payment by credit/debit card, Zelle, or another approved payment method.

A deposit may be required to reserve rental items, event space, delivery, or setup services. Deposits help secure the date and inventory for the customer’s event.

Remaining balances must be paid by the due date provided by Flashing Lights Gala. Failure to pay on time may result in cancellation, delayed delivery, or refusal of service.

Returned payments, declined cards, chargebacks, or unpaid balances may result in additional fees, collection efforts, or cancellation of future services.

Credit/Debit Card Payments

Credit and debit card payments may be processed through third-party payment providers such as Stripe, Square, or another payment processor.

Flashing Lights Gala does not directly store full credit or debit card numbers on its website. Payment processing is subject to the terms and privacy practices of the third-party payment provider.

Cancellations and Refunds

Cancellation must be given 2 weeks prior date of events. Refund eligibility may depend on the timing of cancellation, event date, rental items reserved, labor scheduled, delivery preparation, special orders, and other business costs.

Unless otherwise stated in writing, deposits may be non-refundable once inventory, labor, or event space has been reserved.

If Flashing Lights Gala offers a refund, credit, or reschedule option, the terms must be confirmed in writing.

Customers should carefully review their quote, invoice, booking confirmation, and cancellation terms before making payment.

Rescheduling

Rescheduling requests are subject to availability. Flashing Lights Gala will make reasonable efforts to accommodate a new date, but we cannot guarantee that the same rental items, staff, pricing, or event space will be available.

Additional fees may apply for rescheduling, especially if the request is made close to the event date or after delivery preparation has begun.

Weather and Outdoor Events

Customers are responsible for planning for weather conditions for outdoor events.

Tents and outdoor rentals may provide shade and limited coverage, but they are not guaranteed to protect against all weather conditions, including high winds, storms, flooding, lightning, extreme heat, or severe weather.

Flashing Lights Gala may refuse, delay, modify, or cancel setup if conditions are unsafe for staff, customers, guests, equipment, or property.

Customers are responsible for securing any required permits, approvals, property permissions, or town/village requirements related to tents, outdoor gatherings, sound ordinances, and event setup unless otherwise agreed in writing.

Delivery, Setup, and Pickup

Flashing Lights Gala provide delivery, setup, and pickup services based on the customer’s location, rental order, and service agreement.

Customers must provide safe, clear, and reasonable access to the setup area. This includes driveways, gates, walkways, stairs, elevators, parking areas, grass, patios, or event spaces.

Delivery fees may apply for farther locations in New York based on distance, travel time, and setup requirements.

Customer Responsibilities

The customer is responsible for:

• Providing accurate event information

• Ensuring the setup area is clear, safe, and accessible

• Obtaining necessary permits or property approvals

• Ensuring underground utilities, sprinklers, pipes, wires, and hazards are properly identified before tent setup

• Protecting rental items from damage, theft, misuse, weather damage, stains, burns, or loss

• Supervising guests, vendors, and event participants

• Following local rules, sound ordinances, venue rules, and safety requirements

• Returning all rental items in the same condition received, except for normal use

Rental Item Care and Damage

Customers are responsible for rental items from the time of delivery or pickup until the items are returned to Flashing Lights Gala.

Customers may be charged for lost, stolen, damaged, broken, stained, burned, excessively dirty, or missing rental items.

Replacement or repair charges may apply based on the cost to repair, clean, or replace the item.

Rental items may not be moved, altered, removed from the event location, or used for purposes other than intended without written permission.

Linens, Chair Covers, and Fabric Items

Linens, chair covers, tablecloths, spandex covers, and other fabric items must be returned free from excessive stains, wax, burns, mildew, tears, permanent marks, food damage, or misuse.

Additional cleaning or replacement fees may apply for damaged or heavily soiled fabric items.

Tent Safety

Customers and guests may not move, alter, remove stakes, adjust straps, attach unauthorized decorations, hang heavy items, climb on, or modify tents or tent equipment.

No cooking flames, grills, heaters, fireworks, smoking, or open flames are permitted under or near tents unless approved in writing and used in compliance with all safety requirements.

Flashing Lights Gala is not responsible for injuries, damages, or losses caused by customer misuse, unsafe behavior, weather conditions, unauthorized changes, or failure to follow safety instructions.

Event Space Terms

If Flashing Lights Gala provides or coordinates event space services, additional event space rules may apply.

Customers and guests must follow all venue rules, occupancy limits, event time limits, cleaning requirements, parking rules, alcohol rules, noise restrictions, and safety instructions.

The customer may be responsible for damage to the venue, cleaning fees, overtime fees, security fees, and any violations caused by guests, vendors, or invitees.

Alcohol, Food, Vendors, and Guest Conduct

Customers are responsible for ensuring that all food, alcohol, entertainment, music, vendors, and guest conduct comply with applicable laws, venue rules, and local ordinances.

Flashing Lights Gala is not responsible for third-party vendor conduct, alcohol service, guest behavior, or incidents caused by customers, guests, or outside vendors.

We reserve the right to refuse service or stop work if staff safety is at risk.

Event Security

If event security services are offered, the scope of security services will be listed in a separate quote, invoice, or agreement.

Security services do not guarantee that all incidents will be prevented. Customers remain responsible for guest behavior, event supervision, and compliance with law.

Photos, Marketing, and Testimonials

Flashing Lights Gala may request permission to use event photos, setup photos, customer reviews, or testimonials for website, social media, advertising, or promotional purposes.

We will only use customer photos, testimonials, or reviews with permission.

Customers may request removal of approved photos or testimonials by contacting us, and we will make reasonable efforts to remove them from future marketing.

Affiliate Partners and Third-Party Services

Flashing Lights Gala may recommend or link to affiliate partners or third-party vendors, such as DJs, entertainment providers, event services, or related businesses.

Affiliate partners are separate businesses. Flashing Lights Gala is not responsible for their services, pricing, availability, policies, actions, omissions, contracts, or customer experience.

If you book an affiliate partner, your agreement is with that partner unless otherwise stated in writing.

Website Content and Intellectual Property

All website content, including text, graphics, logos, photos, designs, branding, service descriptions, icons, and promotional materials, belongs to Flashing Lights Gala or its licensors unless otherwise stated.

Indemnification

You agree to defend, indemnify, and hold harmless Flashing Lights Gala, its owners, employees, contractors, representatives, and affiliates from claims, damages, losses, liabilities, costs, or expenses arising from:

• Your guests or vendors

• Your misuse of rental items

• Damage to property

• Injury to persons

• Violation of these Terms

• Violation of laws, permits, ordinances, or venue rules

• Inaccurate information you provide

Force Majeure

Flashing Lights Gala is not responsible for delays, cancellations, failure to perform, or service interruptions caused by events beyond our reasonable control, including severe weather, natural disasters, labor shortages, road closures, accidents, illness, power outages, government restrictions, emergencies, equipment failure, or supply issues.

Privacy

Your use of our website and services is also governed by our Privacy Policy, which explains how we collect, use, and protect personal information.

Governing Law
